This policy explains how Fill By Mail collects, uses and handles information when you visit fillbymail.com or use Fill By Mail direct-mail services. Questions about it can be sent to website at fillbymail.com.

Information we collect

Information you give us. When you use the contact or setup forms, or otherwise get in touch, you may provide information such as:

  • Your name, email address and phone number
  • Facility or business information
  • Mailing and campaign information
  • Anything you include in a message or request

Campaign and customer data. If you use Fill By Mail to run campaigns, you or we on your behalf may provide:

  • Your own mailing or address lists
  • Customer or CRM records used for address matchback
  • Campaign information, such as mailer artwork and timing
  • Audience, targeting and geographic selections

Information collected automatically. When you visit the website, our service providers may collect usage and technical information, described under Cookies and analytics below.

Payment information. Payments are handled by Stripe, which processes the payment-related information needed to complete payments and provide payment services. This is separate from the contact and campaign information described above.

How we use information

We use information to:

  • Provide and operate Fill By Mail services
  • Respond to inquiries and requests
  • Set up and manage direct-mail campaigns
  • Process payments
  • Provide campaign reporting and address matchback
  • Exclude past customers from mailings where applicable
  • Improve the website and our services

  • Send marketing communications where permitted
  • Help prevent fraud, abuse and security problems
  • Comply with legal obligations

Address matchback

Address matchback compares the addresses in customer records you upload with the addresses a campaign mailed, so you can see matched conversions and matched revenue. It is used to report on your campaigns and, where applicable, to exclude past customers from future mailings.

How information is shared

Fill By Mail does not sell or rent personal information, customer mailing lists, or customer-uploaded CRM or customer lists to third parties.

We provide information to service providers as reasonably needed to operate Fill By Mail. These include:

  • PostCanary — the direct-mail campaign platform we use for mailing lists, campaign setup, mailing, campaign reporting and address matchback
  • Stripe — payment processing
  • Google Analytics — website analytics, when enabled
  • Cloudflare — website hosting, infrastructure and security

Information needed to print, prepare and deliver mail may also be handled by the vendors that perform that work. We may also disclose information when required by law, to protect our rights or the safety of others, or as part of a business transfer such as a merger or sale.

Cookies and analytics

We may use Google Analytics to understand how the website is used. When enabled, Google Analytics uses cookies and similar identifiers and may collect information such as:

  • Pages viewed and how you move through the site
  • Session and activity information
  • Approximate geographic location
  • Browser and device information
  • Identifiers and cookies used for analytics

Cloudflare, which hosts and protects the website, may also process standard web-request information, such as IP address and browser details, needed to serve and secure the site. You can limit cookies through your browser settings.

Email communications

We may send service-related communications about your account, campaigns, requests or payments. We may also send marketing or promotional email. You can opt out of marketing email at any time by using the unsubscribe link in the message or by contacting website at fillbymail.com. Opting out of marketing email does not necessarily stop service-related communications.

Data retention

We retain information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining business records, resolving disputes and meeting legal obligations. Retention and deletion practices for information processed through third-party campaign services may depend on those providers and the services used.

Security

We use reasonable administrative and technical measures to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and requests

Children

Fill By Mail is a business service for self-storage operators. It is not directed to children under 13, and we do not knowingly seek personal information from children under 13.
